Department Update

iWise Human Resource Administration is used to define employee, vendor, and location data, and to establish a hierarchy of units, departments, divisions, and organizations. This data is used by all other iWise applications.

Accurately tracking enterprise-wide personnel resources is a complicated and critical responsibility. As the costs to maintain these resources escalate, enterprises feel increasing pressure to account for and utilize resources to their capacity. For an enterprise to remain profitable, these resources must be well-managed and properly allocated to meet long-term strategic goals.

The iWise Human Resources Administration application centralizes and automates personnel administration. HRA is used with an enterprise's current administrative processes to track and manage a wide variety of employee data, including education, experience, benefits, and payroll. Using HRA, you can easily obtain a clear view of the existing capabilities and potential of your work force. This allows you to analyze personnel trends and forecast requirements.

HRA can play an important role in your overall systems management structure. It supports the iWise CMDB, Incident Management, Change Management, and Request Management applications. This provides a way for each application to consider key human factors that can impact its processes.

HRA integrates human resources data into all service management processes. This data includes changes in the employee's status or payroll, and information used to manage conflicts the employee may have with administrative data. HRA maintains data for the employee's entire history within the enterprise. It also simplifies administrative control throughout an organization by automating processing. It replaces time-consuming, error-prone manual administrative processes with an efficient and self-monitoring method of managing human resources. With HRA, your resources can be easily managed at the individual, department, location, and enterprise-wide levels.

HRA consists of six features, each of which is designed to help you manage your human resources. A brief description of each area follows:

  1. Employee Management: Used to record and track administrative data associated with employees. This includes personal information such as date of birth and address, payroll and benefit data, and educational, military, and employment history.
  2. Conflict Management: Used to record, track, and resolve incidents with employee-related processes.
  3. Change Management: Used to implement and track employee-related changes, including organizational changes, transfers, and payroll deduction/benefit changes.
  4. Organization Management: Used to record and track your enterprise's organizational structure, including each organization's role and position in the enterprise's hierarchy.
  5. Advance Management: Used to implement and track employee advance requests, including advances on travel and moving expenses.
  6. Expense Management: Used to implement and track employee expense requests, including expenses incurred during business travel.

Data recorded in HRA becomes increasingly valuable as the database grows and service management areas are integrated. HRA forms the base for all personnel-related information throughout iWise.

The following table lists and describes the types of objects defined in Human Resource Administration:

Object Description
Organizations Used to define an organizational hierarchy. These objects are then collected into Policy Management tables and used to validate attributes and references to organizations. Organizations can be defined as:
  • Organizations: Areas or sections of a company. For example: organizations, divisions, units & departments.
  • Locations: Physical or logical areas.
  • Vendors: Providers of products or services.
You can also record and track outages and activity for all types of organizations (including locations and vendors).
Employees Contains attributes that describe properties of the "human" elements of your system - your employees. Many of these attributes can be extracted from the HRA employee object into other objects and applications. Three related objects can be associated with an HRA employee:
  1. Experience: To record the employment history and resultant skill levels of each employee.
  2. Benefit: To record data about employee benefits.
  3. Deduction: To record data about employee payroll deductions.
Changes Used to request and track modifications to benefits, deductions, or other processes controlled by HRA.
Conflicts Used to report and monitor problems with benefits, deductions, or other processes controlled by HRA.
Advances Used to request cash or credit advances.
Expenses Used to record reimbursable costs incurred by an employee.
Time cards Used to track time worked, including projects, processes, etc.
Absence Requests Used to identify a scheduled absence for personnel. The iWise product family uses these objects for alternate notification and alert processing; for example, product coverage for incident and/or change management.
